Envelope Sizes and Uses – Designing your Envelopes

How much attention do you give plain white envelopes? How often do you receive something in the mail in a dull, simple envelope, with only the address on it? Doesn’t make much of an impression does it? And how much damage is that ho-hum envelope doing to the sender and the valuable contents inside? Who wants to open it? Unless you are expecting it, the answer is – no one.

  • Capitalizing on the initial attention grabbing design and graphics on the outside of the envelope
  • The “vehicle” of an envelope allows businesses to deliver their marketing materials anywhere in the world. This gives the recipients a menu of their brochures, offers, business cards-a full offering of what that business does best in a good looking package.

So, why would you risk sending out a dull envelope, that people won’t give a second glance? You wouldn’t. #10 Envelopes and #10 Window Envelopes

full color #10 envelopesThe ubiquitous “#10″; not a comment on the classic Bo Derek movie, but the envelope that we all use, buy, receive and send on a daily basis. The #10 is 4 1/8 x 9 1/2”, and is used for invoices, alerts, membership forms, etc. – the list is endless. The real estate on a #10 doesn’t allow you to create a graphical masterpiece, but some color or design on the majority of the front and rolling over to the back flap is a great way to produce something to look at, highlight your business, and not just tear open and throw away (immediately) or worse, the dreaded “get it and forget it” many pieces of mail encounter. #9 Envelopes

#9 envelopeMeasuring 3 7/8 x 8 7/8″ these envelopes are the perfect size for a return envelope and fit nicely inside of a #10. They are available with or without a window and can be printed on the inside as well for added security. Get Pricing

6 x 9 Envelopes

6 x 9 booklet envelopeOur 6 x 9″ envelopes are available in both booklet style (opens on the long edge) and catalog style (opens on the short end) styles. This is a great size for a larger greeting card, holiday card or announcement, and are commonly used to mail half size catalogs and booklets. 9 x 12 Booklet Envelopes

9 x 12 booklet envelopesDouble the size of a 6 x 9, the 9 x 12″ booklet envelope is a perfect medium to transport your glossy full color catalogs, product sheets and spec sheets. Sized at (you guessed it) 9 inches by 12 inches, your business can advertise at nearly the same size as the marketing materials contained in the envelope. Or, you may want to use that space to create a “teaser” and pique the interest of finding out what is inside. The opening flap can be on the short or long side, depending upon your preference or contents. A2 Envelopes

announcement envelopesThe smallest announcement envelope size. Measuring 4 3/8 x 5 3/4″ the A2 envelope is most commonly referred to as a “Note Card” sized envelope. All the A size announcement envelopes have square flaps. Get Pricing

A6 Envelopes

Measuring 4 3/4 x 6 1/2″ the A6 envelope is commonly referred to as an “Invitation” envelope. It may be used as an outer or inner envelope for invitation purposes and is spacious enough to accommodate multiple 4 x 6 cards or photos. Get Pricing

A7 Envelopes

Measuring 5 1/4 x 7 1/4″ the A7 envelope is another common size for an invitation or greeting card. You can also use it to send 5 x 7 photos or postcards. An A7 fits inside an A8, A9 or A10 envelope. Most people looking for a 5 x 7 envelope actually need this slightly larger size to accommodate a 5 x 7 folded greeting card. Get Pricing

A9 Envelopes

Measuring 5 3/4 x 8 3/4″ the A9 will fit a half folded sheet of paper with no trouble. This multi-purpose envelope is also great for announcements or 5 1/2 x 8 1/2″ greeting cards and may be used as an outer envelope for invitations. An A9 fits inside of an A10 envelope. Get Pricing

A10 Envelope

Remittance Envelopes

full flap remittance envelopeWhether used by a church, non-profit organization, fundraising group or your local bank, a remittance envelope is a great vehicle to reach out to a chosen group, and also easy to mail. Many remittance envelopes feature full “flaps” that, once sealed, cover all information of the contributor, ensuring privacy. The reverse side is typically set up to mail out with a minimum of extra work. The standard size #6 3/4 remittance envelope is 3 5/8 x 6 1/2″ when closed. Envelope Design and Marketing

How much attention do you give plain white envelopes? Envelopes are handy ways to deliver marketing materials anywhere in the world. Whether it’s a greeting card, a fundraising letter or a collection of product information, if it’s worth sending, it’s worth sending in a compelling package.

Your number one goal for your envelope design is to pique recipients’ interest to open it up and see what’s inside. The key is to grab attention quickly through use of color, images and text. An important secondary goal is to build brand awareness by making your envelope printing fit into the larger scope of your brand identity. Keeping your designs cohesive on your business cards, letterhead, envelopes and other marketing materials will put forth a professional image and create the strongest brand impact.

Color – While black and white can make a bold statement with the right graphics, color usually packs a bigger punch. If you already have an attractive color logo, place it prominently on the front of the envelope. Or use backgrounds and/or images that reflect your company’s personality. The beauty of custom envelopes is that they are printed flat, then “converted” into envelopes, so your design can wrap around the envelope, or you can inject visual appeal by contrasting the back or flap.

Images – Creative use of images in your stationery can really help you stand out from the crowd. Sometimes all it takes is a hint of an image faded in the background to instantly set the tone about who you are and what you offer.

Text – To create a sense of urgency or draw special attention, use bursts of texts such as “Special Discount”, “Urgent Time-dated Materials” or “Limited Space – Act Now!” Just don’t overdo it, the envelope is the teaser – the contents of your envelope should do the selling. The real estate on a #10 Envelope allows more room than you think to get a message across. On larger envelopes, such as 9 x 12 Booklet Envelopes, you’ll have more space to play with, although a simple tag line and a pleasing design may do the trick to avoid your envelope getting tossed without a second glance.
 

Paper Quality and Sustainability

An important part of the design is the paper you choose for your envelope printing. Smooth or textured, you’ll want a quality uncoated stock that you can run through your laser or desktop printer for addressing. Smooth 70 lb. stocks, show off your color designs the best and are the most cost effective, while textured 24 lb writing stocks such as linen or laid offer a nice tactile, high-end feel. To match your letterhead and envelopes more closely to your business cards or brochures printed on glossy or dull/matte coated stocks, go for smooth stock.

With custom envelopes, you don’t have to sacrifice quality for environmental responsibility. Choose environmentally responsible papers, or ask about fine writing papers that include recycled content.

Personalized Notepads

A personalized notepad is a great little advertising device. Take a look at what you have on your desk. Aside from the obvious computer, stacks of paper, maybe a mug of coffee and a few pens, odds are you have a notepad, memo pad or scratch pad. And it is probably from someone else’s company. Each day you look at it, use it for a list of the day’s events, jot down notes, stats or figures, you are reminded of that company’s name and logo. It is like a small, practical billboard on your desk.

Everyone appreciates a small, useful pad of paper. Your company name and logo gets attention every time it’s used and one of those notes is passed along. “The business notepad is referred to almost daily, kept for 30 days or so and carries a high remembrance factor,” says Elliott Black, a Northbrook, Ill., marketing consultant who specializes in small business marketing.

Keep the Design Simple

The key to printing custom notepads is restraint. Make them stand out but keep them simple. Provide your company name and logo at the top, phone number, address and website underneath; that’s it. Notepads are a great prompt or reminder of YOUR company, and possibly just enough to stop a fickle customer from forgetting you, even for a moment. Don’t clutter it up, or use up too much of that useful space with catch phrases, designs and borders. Layout Options

Laying out and printing a notepad or memo pad is very straightforward. Decide on an attractive size, how many pages per pad the total number of pads you want, how much space at the top of the page your information will cover, whether to use color or black ink only, and the type of writing paper.

Common notepad sizes are 4.25″ x 5.5″, 4 x 6″, 3.5″ x 8.5″, 5 x 7″, 5.5 x 8.5″ and up to 8.5 x 11″. Pages per pad range from 25 to 100 or more, and some like to add distinctive details such as rounded corners. Choose easy-to-read fonts that are “sans serif,” such as Impact, Arial, Myriad or Verdana, and use white paper — it is usually more cost effective, and shows off any kind of pen, pencil or marker.
